The RFP Writer will work closely with our Director of Business Development, Sales team, technical leads, and senior leadership to manage proposal responses from start to finish. This role requires strong writing skills, excellent organization, attention to detail, and the ability to keep multiple priorities moving under tight deadlines.

This is a great opportunity for someone who enjoys bringing structure to complex information, asking good questions, and turning technical and business input into clear, compelling proposal responses.

Applicants with strong writing and organizational skills are encouraged to apply.

What You’ll Do

• Monitor and source new opportunities from platforms and sources such as SAM.gov, Grants.gov, client websites, RFPSchoolWatch, FindRFP, GovWin, FoundationSearch, and contract distribution lists.
• Review RFPs, identify key requirements, and help determine deadlines, deliverables, evaluation criteria, and submission instructions.
• Own and manage the proposal timeline from kickoff through final submission, including writing, information gathering, internal review, approval, formatting, and delivery.
• Work directly with Sales, Product Owners, Marketing, technical teams, and senior leadership to gather the information needed to complete accurate and effective proposals.
• Draft, edit, and customize proposal responses, so they reflect the specific needs, goals, and requirements of each opportunity.
• Translate technical, business, and project information into clear, polished, and persuasive proposal language.
• Maintain consistency, quality, and accuracy across proposal language, company information, project examples, resumes, pricing narratives, and supporting materials.
• Coordinate follow-up work opportunities that move to the next phase, including additional questions, clarifications, presentations, and requested documentation.
• Collaborate with internal teams to develop new proposal content, improve reusable language, and strengthen Breakthrough’s proposal library over time.
• Coordinate final production and submission of completed proposals, ensuring all instructions are followed, and deadlines are met.
What You Bring
• 3 to 5 years of relevant experience working with RFPs, proposals, grants, or similar response-driven documents.
• Excellent writing, editing, proofreading, and formatting skills.
• Experience customizing proposal responses to match specific prospect requirements, goals, and submission guidelines.
• Strong project management and organizational skills, with the ability to manage multiple deadlines and priorities at the same time.
• The ability to work independently while also collaborating effectively with internal teams.
• Strong attention to detail and the ability to produce accurate, polished, and properly formatted documents.
• Professional maturity, sound judgment, and a proactive, self-starting work style.
• Comfort working with technical, business, and marketing content.
• The ability to ask thoughtful questions, follow up consistently, and keep proposal contributors on track.

Bonus Points

• Strong Excel skills.
• Experience with government, nonprofit, association, education, or technology-related RFPs.
• Familiarity with proposal databases, content libraries, CRM systems, or project management tools.
• Experience working with software development, digital products, websites, platforms, integrations, or technical services.

What We Offer

• Competitive salary: $70,000 - $95,000, depending on experience and level.
• Fully remote, within the United States.
• Comprehensive health, dental, and vision insurance.
• Life insurance, short-term and long-term disability insurance.
• Paid maternity/paternity leave.

About Breakthrough Technologies

Founded in 1998 by software engineers, Breakthrough Technologies (BT) builds custom web and mobile applications that address a wide variety of complex problems in the education, association, nonprofit, and public health spaces. When an out-of-the-box product doesn't offer what a client truly needs or wants, we develop custom solutions instead. We won't redirect clients toward mainstream, costly technology to solve a problem; we work closely with them to develop smart, creative solutions, often built on proven open-source platforms. We also deliver hosting, maintenance, support, and other end-to-end services. We are 100% U.S.-based, with offices north of Chicago, right next to Northwestern University.
You'd be joining a professional services team that values collaboration and communication, pays close attention to detail, and brings a consultative mindset to every engagement. We're proud of two things in particular: the caliber of our team and the stability of our business. We're a team of about 40 people who are genuinely good at what we do. We've stayed independent and steady through every kind of market, and the outlook is bright. The work is interesting, and the people make it even better.
